Medical Operations Manager - DC

Duties & responsibilities

Medical Operations & Oversight

  • Supervise daily medical services including intake and exit exams, vaccinations, diagnostics, treatment, surgery (spay/neuter and specialty), and humane euthanasia.
  • Develop in coordination with DVMs and operations leadership, implement, and continuously improve medical protocols, ensuring alignment with best practices and regulatory requirements.
  • Oversee in coordination with DVMs and operations leadership: inventory management of pharmaceuticals, controlled substances, and medical supplies; coordinate with DVMs and operations leadership to ensure DEA and District of Columbia compliance.

Team Leadership & Staff Development

  • Manage and mentor licensed technicians and medical support personnel, fostering a culture of accountability, compassion, and professional growth.
  • Partner with leadership to recruit, onboard, and evaluate staff; schedule technicians for optimal coverage.
  • Provide ongoing training in animal handling, safety, clinical standards and any other necessary training.

Operational Coordination

  • Collaborate with shelter operations, animal care, behavior, adoptions, and lifesaving departments to coordinate medical care plans, manage case flow, and ensure timely animal movement.
  • Monitor medical budgets, track key performance indicators, and recommend cost-effective strategies without compromising quality of care.
  • Participate in cross-departmental meetings to align medical priorities with overall shelter objectives.

Compliance & Reporting

  • Maintain accurate medical records in shelter software (e.g., PetPoint, NEO, etc.)
  • Prepare reports on animal health trends, surgery outcomes, and program effectiveness for leadership.
  • Ensure facility compliance with OSHA and local public health regulations.

Any other duties as assigned.

Qualifications

  • Licensed Veterinary Technician (LVT/RVT) with shelter operations management experience is preferred.
  • Minimum 4 years in veterinary medicine with at least 2 years in a supervisory or operations leadership role is preferred.
  • Proven ability to lead teams in a high-volume, fast-paced environment.
  • Strong knowledge of shelter medicine, population management, and infectious disease control.
  • Excellent organizational, interpersonal, and communication skills.
  • Proficiency with veterinary practice/shelter management software and Microsoft Office Suite.
  • Possess and maintain a valid driver’s license with good insurable driving record.
  • Ability to bend, kneel, and stand for long periods of time.
  • Ability to lift 50lbs. regularly.
  • Ability to be flexible, detail oriented, and able to prioritize.

Working Conditions

  • Work is performed in a shelter setting.
  • Consistent bending, reaching, kneeling, and standing for long periods of time.
  • Regularly moves about all locations to coordinate work.
  • Subject to animal bites and scratches while handling animals.
  • Consistent exposure to animals and animal allergens under conditions with limited alternatives available.
